Description

Implementation to the larger audience of end users requires the execution of a communications and training plan.

End users need to:

hear about the changes and

be instructed on how to access the enabling technologies and know-how.

As these plans are executed, the Process needs to be monitored for complete deployment to affected personnel

To assure that all the identified personnel receive a briefing about the new Process via the Communication Plan.

Why do it?

All personnel need to be informed about the new Process and the impact it has on their way of doing business.

What to do:

Using the Briefing Package and the presentation materials that were created, brief all personnel impacted by changes. Other printed and electronic materials should be distributed as described in the Communication Plan.

Decision:

1) Are all materials complete and accurate for describing the new Process?

2) Are all presenters prepared for briefings?

Step Action

2 Scroll to the Briefing Presentation frame.
3 Typing ideas in an outline fashion, create a briefing presentation that encompasses information about:

·         the new process

·         why the process was changed

·         who is directly impacted by the change

4 Scroll down to the Briefing Materials frame and identify any materials that need to be created.

Important: Assure that all materials are consistent with each other.

5 Type the schedule for briefings in the Briefing Schedule frame of the Deployment Team Charter.

Important: Assure that all presenters have the necessary materials and are aware of the scheduled briefings.

Purpose

The goal!

To assure all identified personnel receive the appropriate training on the new Process and enabling technology.

Why do it?

Using the Training Plans created for impacted personnel, individuals and groups will be quickly able to access, use, and adapt to the new Process and enabling technology.

What to do:

Using the training that was created for the new Process and enabling technology, train all personnel. Training should include accessing and using the enabling and supporting technologies used to capture and deploy the new Process.

Decision:

Are all training materials completed and accurate to instruct personnel on using the new Process?

Step Action

2 Referring back to the Briefing Package, have team members create the necessary training materials.

Important: Training materials should include:

·         The Process

·         Enabling Technology

·         Supporting Technologies

3 Following the documented training schedule, perform the training for all impacted end users.

Important: Make sure all logistics are accounted for and required equipment is available for training sessions. Be sure all instructors are prepared for training.

4 Document in the Training Schedule frame as each training sessions is complete.

Deployment Team Charter

Purpose

The goal!

To monitor progress so that the results to date and variances of actual versus planned for the new Process launch are highlighted.

Why do it?

This identifies opportunities for increased improvement and positive impacts, so that necessary adjustments can be made to the new Process.

What to do:

Once the Communication and Training Plans are in place, the Process Deployment Team must move from Deployment to Continuous Improvement.

As impacted personnel adopt the new Process and identify potential changes to the system, a Sustaining Process Team should be established to address the changes and inputs.

Decision:
1) Who should be involved with the Continuous Improvement efforts?
2) Have the Sustaining Process Team members been identified?

Why do it?

This activity helps to organize the team proactively and prepare them for the coming analysis work.

What to do:

Using the Analyze training module as a basis for educating the Process Improvement Team:

Modify the training Agenda.

Prepare to educate the team on the procedures and tools of the Analyze activity.

Using the process scope section of the Team Charter, select a section of process work to demonstrate what needs to be done and how to do it.

Decision:
1) Does the team understand how to implement the procedures and tools in the Analyze activity?
2) Does the team have an example specific enough to the process scope for them to continue through the analysis activity for the remaining processes?

General Responsibilities
Leader The Team Leader provides the necessary support and guidance that will enable the team to progress successfully through the process improvement tasks and achieve the desired end results.

 

  • Provides content direction throughout the improvement effort to keep the team focused, on track, and continuously moving forward to achieve process improvement
  • Sets each session up for success (50% of the session’s success results from up front planning)

Facilitator The Facilitator provides support to the design team and the process owner by preparing documentation, leading review sessions, and coordinating information flow between various groups involved in the implementation process
